To complete your registration with XOL, please ensure you have the following details ready:

Company Name and Registration Number: Required for company verification.

List of Company Directors and ID Card Numbers: This information is requested to ensure that the company is represented by an authorized person.

Owner or Company Director’s Full Name who will be the official contact person: For identifying the official contact Director or owner.

Full Company Address: The official address of your company for verification purposes.

Retail Outlet Name and Address: Provide the name and complete address of your retail outlet, if applicable.

VAT Registration Number: A valid VAT number is required to join as a seller.

IBAN: A bank account number (IBAN) where XOL can transfer payments for your sales.

Sales & Marketing Manager: The person who will oversee that the orders are being received and processed in a timely manner besides other responsibilities.

Gathering these details in advance will help streamline your registration process.

No Dropshipping on XOL Malta

 

XOL Malta does not permit vendors to sell products solely from catalogs without any form of physical representation or customer engagement. XOL Malta is not a dropshipping platform; instead, it aims to ensure that customers have the opportunity to explore and learn about products either online or in-store.

However, XOL Europe offers an opportunity for vendors to list catalog-based products and fulfill orders through dropshipping across all European countries. This way, local vendors can expand their business by leveraging XOL Europe to list and sell catalog products online, just as they would with other major e-commerce websites.

Highlighting the Product Detail Page: What Customers Will See

Key product features, specifications, and benefits: Multiple images or videos that bring your product to life, including relevant details like dimensions, materials, or usage instructions.

Product Listed by Multiple Retailers: If a product is offered by multiple retailers, the Importer will be responsible for providing product information, including descriptions and specifications. Importers will also decide which retailers are to be displayed under the product’s “Available also from…” drop down list, helping customers know where they can purchase it.

Retailer Listings: The list of retailers stocking the product will be displayed under the product’s “Available also from…” drop down list, if the importer selects the specific retailer’s business name to appear, for each Brand or for each product. This ensures that accurate and up-to-date information is provided, as importers know which retailers have stocked their products.

Importer-Added Information: Since importers are providing product details, they are responsible for ensuring the accuracy of this information, thus reducing the risk of disputes.

Vendor-Listed Products: If a vendor lists a product independently (without importer involvement), that vendor is responsible for providing product information, and no other competing retailers will be included in the product listing.

Tips for Crafting Great Listings: Want your products to stand out? Here’s how:

Be Concise: Highlight what matters most to your customers.

Stay Accurate: Use precise details that leave no room for confusion.

Include data in Attributes: Include as many relevant data in attributes so users can find what they are looking for more easily and precise. For example, if your table has a glass top on stainless steel legs, select “Glass” and select stainless steel in the material attributes.

Keep It Visual: High-quality images and videos go a long way in helping customers see value.

XOL’s Product Detail Pages are designed to give customers a seamless shopping experience while offering vendors the tools to present their products professionally and effectively.

To start selling on XOL, you’ll need to create a product listing. You can either:

Match an Existing Listing: If a similar product is already being sold by another vendor on XOL, you can include it in the same department and category.

Create a New Listing: If you’re the first or only vendor offering this product, you’ll create a unique listing from scratch.

The method for listing products depends on your needs and inventory size:

Bulk Uploads for Large Inventories: Vendors managing a high volume of products can upload listings in batches using bulk upload tools or integrate with third-party inventory management systems.

Individual Product Listings: Vendors with smaller inventories or single items can add products one at a time directly through the Vendor Hub.

XOL provides the tools and flexibility you need to list your products efficiently, whether you’re managing a few items or a full catalogue.

At XOL, we’re committed to making it as seamless as possible for vendors to manage their products. Here’s how we do it:

Direct Integration with Your Database: Save time and avoid duplication of effort by linking your existing database directly with XOL.

Any changes to prices or inventory are automatically reflected on XOL, keeping your listings accurate and up-to-date.

For items that are out of stock, we’ll automatically block them from being displayed—unless you choose to allow pre-orders, giving you complete control.

We’ve simplified categorization with our own XOL Grouped Categories. These categories group similar products together, ensuring customers can easily find related items, no matter how different vendors classify their products.

This means you don’t need to worry about categorizing your products under our XOL GROUPED CATEGORIES, as long as you have identified your products properly in your Vendor Category hierarchy — our system ensures everything is organized in a way that makes sense for customers.

With XOL, you can focus on growing your business while we handle the complexities of product management and categorization.

Each product can have multiple images to be displayed in the product listing. We have reserved a special area to upload an idea image which will be displayed in our Idea Section.

This is similar to Pinterest with the added benefit that all products and ideas displayed are products that can be purchased from local vendors.

Only registered Vendors can submit products with ideas in the idea section.

Order Fulfilment Process

At XOL, we focus on connecting customers with the best products available in the local market, leaving the fulfilment process to our trusted vendors. XOL does not handle delivery, as we are a marketplace platform dedicated to showcasing what’s available and helping customers decide where to buy.

Here’s how it works:

Flexible Purchase Options: Customers can purchase products directly online through XOL. Alternatively, they can visit the showroom or store location listed under each product for an in-person purchase.

Order Fulfilment by Vendors: When an order is placed on XOL, with full or partial payment, the details are immediately forwarded to the relevant vendor. Vendors take responsibility for professionally packaging, labelling, and delivering the order or preparing it for in-store pickup.

This streamlined approach ensures that customers can confidently shop for products while vendors maintain full control over the fulfilment process, creating a seamless and efficient experience for everyone involved.

Contributions Per Sale

 

The contribution per sale starts at 10% but is designed to decrease as your business grows with XOL. As you expand your product listings and progress through our vendor stages, your contribution rate can drop as low as 5%, rewarding your continued growth and success.

 

Vendors have complete control over contribution settings, with the ability to apply higher rates for specific products, brands, or categories if such products enjoy a higher margin to enhance their visibility on the XOL platform.

 

For products or services that cannot meet the standard contribution rates—such as real estate or other special cases—we are open to discussing terms on a case-by-case basis. This flexibility ensures a mutually beneficial arrangement that supports the vendor’s unique business needs while aligning with XOL’s goals for growth and collaboration.

The XOL-COINS

At XOL, we value our customers and believe in rewarding their loyalty. Our Customer Loyalty Rewards Program (XOL-Coins) is designed to give back to customers for their continued support and purchases made on our platform.

How It Works: Customers earn loyalty coins with every purchase they make on XOL. These coins accumulate over time and can be redeemed for discounts or part-payment on future purchases. The more a customer shops, the more coins they earn, encouraging them to continue buying from XOL.

Commission Reinvestment: A portion of the commission earned by XOL from vendor sales is reinvested into the loyalty COIN program, meaning that customers directly benefit from the transactions made on the platform. This unique structure not only incentivizes customers to shop more but also helps vendors gain more visibility and repeat customers.

Flexible Redemption: Loyalty COINS can be used towards any product listed on XOL, giving customers the flexibility to choose what they want. They can use the COINS as part of the payment or save them up for larger discounts on more significant purchases.

Exclusive Offers and Bonuses: Customers who are part of the loyalty COIN program also receive access to exclusive promotions, discounts, and bonus COIN opportunities. These offers are aimed at maximizing the value they get from shopping on XOL, making it a rewarding experience each time.

Our Customer Loyalty COIN Rewards Program helps build strong relationships between vendors, XOL, and customers by creating a win-win environment—customers get rewarded for their purchases, and vendors benefit from increased loyalty and repeated sales.

How Do We Send the Order Requests to Vendors

Vendors will receive an email whenever a purchase is made for the product that the Vendor represents.

Moreover, Vendors will also have access to their hub where they can check the orders, fulfilled items, and any pending orders to be delivered.

Clients who complain that the delivery took longer than promised will be warned, and any subsequent claims will disqualify the vendor from the XOL platform, resulting in the removal of all their products.
